Studio Rules and Regulations​
Studio

Please note booking any rental above DOES NOT include a photographer. Booking only secures a time, date and duration for the rental of our space.

Please refrain from wearing outdoor shoes in the studio.

There is no smoking or vaping inside the studio.

In order to help maintain a clean and welcoming environment, FOOD of any kind is no longer permitted in the studio. We kindly ask that all food be enjoyed outside the space. If you require to bring food into the studio for a particular rental, please let me know beforehand with the date of your rental.

You will be given a temporary personal code to get in and out of the studio valid in the timeframe of your rental. If you have any issues, please do not hesitate to contact us

Glitter/sparkles, smoke bombs, smoke machines, open flame products, or paint are not permitted inside the studio. You are more than welcome to use these in our outdoor space, but please notify us beforehand.

We do not tolerate harassment or illegal activity on the property. House of Emerald reserves the right to evict the renter and additional parties to vacate the premise immediately without a refund if any illegal actions or activities are spotted.

Please make sure there is maintained adult supervision to minors at all time.

Please keep the studio clean and dispose of all trash before leaving. You may contact the studio owner if you need assistance in cleaning or disposal (large garbage bags, access to broom and pan, ect).

Please note the studio is under 24/7 video surveillance in the main area of the studio as a security and safety measure. This ensures safety of all guests and protects studio equipment and property to identify and confirm any damage, theft or violations of studio policy. The video footage is strictly used for the security and will only be reviewed if necessary. By booking a rental, you acknowledge and consent to the monitoring of the studio premises. We kindly ask that cameras remain visible and unobstructed at all times during your booking. If a camera becomes accidentally covered or moved, a member of our team may briefly enter the studio during your rental to adjust it. We’ll always aim to do this quickly and respectfully so your session can continue without disruption.

For security purposes, please DO NOT give the access code to anyone who is not under the rental name. The renter must be the first one to access the studio at the time of the rental

For privacy purposes and respect for clients or maintenance before you, Please DO NOT enter the studio prior to your time, unless you have permission from the studio owner.

For safety and liability purposes, photographers and clients must remain within the designated photography areas and are prohibited from going beyond the asphalt driveway adjacent to the large grey workshop located along the gravel driveway. Clients and photographers are not permitted to touch, climb on, enter, or interact with any equipment, materials, vehicles, or mechanical machinery on the property. These areas are considered active construction and business operation zones due to shared tenant activities and may present safety hazards.
Pets​

Dogs must be on a leash at all times.

Our studio is a family-friendly space so please ensure your pets are not on our furniture. They must be placed in the clients lap or positioned next to any studio pieces.

Should your pet make a mess, there will be a $50 cleaning fee. In accordance to the rules and regulations of the studio, the renter will be invoiced for any damages caused during their timeslot.
Lateness and Cancellations

Time of rental will begin promptly, regardless of lateness. Please be advised your cleanup time and collection of belongings should be considered for your timeslot.

Late fees may be charged if renter proceeds to leave later then their allotted time. However, you are more than welcome to shoot in our private outdoor space and sets for as long as you want, as long as you are not interfering with the current rental timeslot.

We are happy to reschedule or provide a future credit (may be in the form of a egift card) if your booking does not work out up until your rental time. We do not do REFUNDS. Once your rental time has passed, we will not be able to honour it. No shows will not be refunded or credited.

We are only allowed to manage full booked times slots. For accounting and scheduling purposes we cannot break up an existing time slot. Only FULL TIME SLOTS can be rebooked or credited.

If there is an intention of having multiple clients throughout the booking, the photographer is responsible for managing their times, cancelations and reschedules with their clients. The booking time cannot be altered based on client changes.
Studio Equipment

Additional photography equipment is available to use at no additional cost. Please let the studio owner know if anything in specific is required beforehand. Renters may also bring in their own equipment and props.

Sets and Furniture

The renter may use the entire studio space, along with props, furniture and distinctive set features.

Furniture may be moved but please do not drag pieces across the floor.

Renter and clients are not to touch, move or lean on the room divider poles that are connected from the ceiling to the floor. If tampered with, the renter agrees they are financially responsible for any damage done to the ceiling or floor. Renter may move or adjust the curtains delicately that divide the space.

Outdoors

Advertised setups outdoors are weather permitting. If weather or natural causes interfere with advertised setups, the renter agrees and understands this is beyond the control of the studio. Please contact the studio owner to reschedule or find a solution if weather affects your rental.

Props and furniture may be used outside depending on weather and with studio owner’s permission. Renter must return back in the studio at the end of the rental

When booking during our apple blossom or tulip field season, the renter understands that timing of bloom conditions are not guaranteed, as flowering depends on weather and temperature. Renter will not hold studio accountable if bloom timing does not work out for their rental.

To help preserve the experience and longevity for everyone, we ask that you DO NOT pick or step on the tulips. The area will be monitored by both cameras and our team to ensure proper use. Renters agree they are responsible for any damages to the flower bed and fees will be applied if flowers are disturbed.

Damages

The renter agrees its their responsibility to return all equipment, furniture and props provided and agrees to be invoiced for any damage caused during their timeslot including anything damaged by Renter’s client’s and additional party present during rental period

Renter agrees to pay for any repair or replacement cost of furniture, set pieces, props, and equipment that are damaged, stolen or ruined during their timeslot within 7 days of the rental

Renters must immediately notify the studio owner of any damage or issues involving provided sets, equipment, furniture, props, or any structural, mechanical, or cosmetic damage to the premises​

Weather & Power Policy
If a power outage or weather-related issue impacts your booking, we will do our best to minimize disruption by pausing your session and offering flexible options, including extending your time (if possible), rescheduling, or providing a studio credit. Any upcoming bookings that would be affected by these circumstances will be contacted in advanced. We’ll always work with you to find the best solution based on availability.
Liability
The renter agrees use of the studio is entirely at their own risk and holds no liability for direct, indirect, incidental or consequential injury, damage or loss to the renter, their party or possessions while on site. Furthermore, Renter shall protect, maintain, save and hold harmless House of Emerald Studio and its owners, agents, representatives, associates, employees, guests and tenants against any suit, claim, demands, loss, accident, judgment, fine, injury or damages, including reasonable attorney’s fees. This indemnification shall continue in full force and effect during and after the term of the rental for such causes arising during the term of the rental.
If an accident involving the Studio's rental items has occurred while it is in the Renter's possession, the Renter shall make the Studio aware by a detailed written statement of the event including a police report, names/addresses of witnesses if applicable. The Renter is fully responsible for the actions, loss and/or damages of themselves and their guests (including equipment, props, studio space) during their time on the premises.

The studio reserves the right to refuse or cancel any booking at its sole discretion. In the event a booking is refused or canceled by the Studio, a refund will be issued for the amount paid, less any non-refundable service, processing, or transaction fees incurred at the time of booking. These fees are retained to cover administrative and payment processing costs and will not be reimbursed.
